Payment Structure

 

•Initial Deposit: Collect 30% to 50% of the total package cost at the time of booking.

•Confirmation: Explicitly state that "Bookings are only confirmed upon receipt of the advance payment."

 

•Last-Minute Bookings: For trips booked within 30 days of departure, 100% full payment should be required immediately.

 

2. Final Payment TermsTo avoid the risk of late cancellations leaving you with unpaid vendor bills:

 

•Deadline: Require the remaining balance 7 to 15 days prior to the departure date.

 

•Consequence of Non-Payment: Reserve the right to cancel the booking and forfeit the deposit if the balance is not cleared by the due date.

 

•On-Arrival Payments: While some companies allow balance payment on Day 1 of the tour, this is riskier. If you offer this, ensure it is limited to cash or UPI to avoid processing delays.

Cancellation Policy

1. Standard Cancellation Charges Cancellation fees are calculated based on the date we receive your written cancellation request relative to the departure date:

 

2. Amendment & Re-scheduling If you wish to change your travel dates or destination instead of cancelling:

•An Amendment Fee of ₹2,000 / $25 (plus any difference in fare) applies.

•Amendments are subject to availability and the consent of our service partners (Hotels/Airlines).3. Cancellation by Territory TravelsIn the rare event that we must cancel a tour due to unforeseen circumstances (e.g., natural disasters, government restrictions, or insufficient group numbers):

•You will be offered an alternative travel date or a Travel Credit Note for the full amount paid.

•Territory Travels is not liable for any secondary expenses (like independent flight bookings) made by the client.

Booking Terms & Conditions
1. Contract Formation
  • Request vs. Confirmation: A booking is considered "confirmed" only when Territory Travels issues a formal confirmation voucher via email and the required deposit has been cleared.
  • Accuracy of Information: The client/agent is responsible for providing accurate passenger names (as per Passport/ID) and contact details. Any fees arising from corrections after ticket issuance will be borne by the client.
 
2. Pricing and Availability
  • Dynamic Pricing: Rates for flights and hotels are dynamic. Prices quoted are valid for 24 hours unless otherwise stated. We reserve the right to adjust quotes if the booking is not finalized within this window.
  •  Inclusions: Only items explicitly mentioned in the "Inclusions" section of your itinerary are covered. Personal expenses, laundry, tips, and additional meals are excluded.
 3. Document Requirements
  • Identity Proof: For domestic travel (India), a valid Aadhar Card, Voter ID, or Driving License is mandatory.
  • International Travel: Passports must have at least 6 months validity from the date of return.
  • Visa Responsibility: While we may provide assistance, obtaining a valid visa is the sole responsibility of the traveler. Territory Travels is not liable for boarding denials due to visa or passport issue.
4. Health and Insurance
  • Travel Insurance: We strongly recommend that all travelers purchase comprehensive travel insurance. This should cover trip cancellation, medical emergencies, and loss of luggage.
  • Fitness to Travel: By booking, the client confirms they are medically fit for the itinerary chosen (e.g., high-altitude treks or long-haul flights).
5. Third-Party Service Providers
  • Agency Status: Territory Travels acts as a facilitator between the client and third-party service providers (Airlines, Hotels, Transporters).
  • Liability: We are not responsible for delays, service deficiencies, or mechanical failures of these third parties. However, we will provide all possible assistance to resolve disputes with these providers.
 
6. Itinerary Changes
  • Operational Adjustments: In case of roadblocks, weather conditions, or technical snags, we reserve the right to alter the route or hotel. We will ensure an alternative of similar or higher category whenever possible.
  • Client Request: Any change requested by the client after booking is subject to a service fee plus the cost difference from the vendor.
 
7. Special Requests
  • Any special requests (e.g., room location, bed type, dietary requirements) are subject to availability and the hotel/airline's policy. These cannot be guaranteed by Territory Travels.
